2019 Pit Stop Application

Thank you for your interest in hosting a pit stop on Bike to Work Day, Thursday, May 16, 2019! Please read the following information carefully before submitting your application.

In 2018, more than 10,900 visits were recorded at 100 pit stops, located from Oceanside to San Ysidro. This year, 100 organizations will be selected to set up pit stops around the San Diego region to provide participants with refreshments and encouragement on the morning of Bike to Work Day.

Pit stop hosts will receive signage, bike maps, stickers, t-shirts, and limited snacks to distribute to registered participants. We will rely on pit stop hosts to provide refreshments, a positive attitude, and additional giveaways or activities to create a fun environment!

Due to the overwhelming response in past years, and the desire to provide participants with the best possible experience, interested organizations must submit an application to host a pit stop in 2019. Applications will be evaluated for quality, relevance, and feasibility based on set criteria.

Pit stop applications will be accepted from March 1 through March 22, 2019. An evaluation panel will review all applications and applicants will be notified of the panel’s decision no later than April 5, 2019.

In order to offer pit stop locations throughout the region to reach the most participants, location and projected reach (the number of visits to your pit stop during the official hours of 6 to 9 a.m.) will be evaluated.

Previous pit stop hosts: Please estimate attendance based on your pit stop counts from previous years. iCommute also will review previous pit stop data.

First-time applicants: iCommute will review previous pit stop data to estimate projected reach for your requested location. You can email us to get an estimate to include here, or we will calculate for you if you leave this blank. This field is not required.

*2) Organization’s ability to create a fun, positive, and engaging atmosphere (30 points). Please include a thorough description of what your pit stop would offer to Bike to Work Day pit stop visitors, if selected. Your description should include any proposed themes, displays, music or entertainment, food and refreshments, giveaways, activities, services, promotions, or contests.

Please identify who will organize the pit stop and number of staff/volunteers available to work the pit stop.

Please list and describe any partner organizations that plan to co-host or exhibit at your pit stop, if applicable.

You may describe any plans to offer additional pit stop hours beyond the required 6 to 9 a.m timeframe (including extended or afternoon/evening hours), however additional hours will not earn any extra points.

4) Quality, relevance, and feasibility of the application (10 points). Your application will be evaluated based on quality, relevance, and feasibility. No response is required here.

6) Pit Stop Coordinator Agreement

If selected, I agree to the following responsibilities as a Pit Stop Coordinator:
  • Must attend the pit stop host webinar on April 16 (or make other arrangements to watch the recording)
  • Must pick up pit stop materials on Tuesday, May 14
  • Must open pit stop on Thursday, May 16 by 6 a.m. and stay open until 9 a.m.
  • Must provide refreshments (water at a minimum)
  • Must set up in a safe, visible, accessible location
  • Must display all provided signage and materials
  • Must scan participant confirmation emails with a smartphone
  • Must confirm pit stop location for interactive map by designated deadline within five business days of application approval
  • Must have a friendly, positive, encouraging attitude
